How to update volunteer job counts for away meets
Good afternoon league reps and data leads!
There have been some additional questions about volunteer jobs and templates, and I have more information on those for you.
I sent an email a couple of weeks ago with a spreadsheet that listed what I used to create the away team job templates (based on the pre-SwimTopia league website info). I had a few job counts that came to me that needed to be changed.
I corrected the templates last week, so if anyone applied the job template after the changes were sent to me, then your counts will be correct.
The outstanding question was this - can we update and reapply the shared job templates?
After talking with SwimTopia support, they wanted to test that out on their end to make sure that your existing signups wouldn’t be impacted by reapplying the template. Although it shouldn’t impact it (e.g. wipe out those parent signups), they’ve advised that for now, you should make the changes yourself on your team website’s job assignments.

- This link will remind you how to access Jobs and Shifts from the Schedule in your Admin view.
- You should be able to edit the existing jobs and modify the number of volunteers needed in each shift.
- If you already have more than necessary, you can remove your volunteer from that job to a different job within the meet.
Here is a list of the changes I received. If there are any others that are incorrect, please let us know so teams can get them adjusted:
- Muirfield - 6 timers per half
- Timberwood - 5 timers per half
Please know that as we are going through this transition, we’re likely to find some hiccups as we proceed. I’ve been compiling a list of things that we need to set deadlines on for next season, and guidelines we’ll need to have in place to help teams navigate the pre-season. I’ve added to that list to ask teams to sign off on this information next year prior to the opening of registration so we can ensure it’s all correct.
